Description

As the Payroll Accountant, you’ll handle processing and maintaining the ship’s payroll records and salary wages. Your responsibilities include ensuring the smooth flow of Hotel and Beverage Service Charges through our Payroll System. Additionally, you’ll serve as the Onboard Brightwell Representative, overseeing program implementation and maintenance. Managing the Time and Attendance System will also be part of your role.

Key & General Responsibilities

Key Responsibilities:

  • Payroll Processing: Record all payroll, premiums, Hotel and Beverage Service Charges earnings, deductions, corrections, and other manual payroll entries in the Payroll System. Administer repatriating crew payroll and ensure timely month-end processing. Communicate effectively with shore side Payroll and Human Resources.
  • Crew Support: Provide two hours of service each evening within the HR Office to address crewmembers’ payroll inquiries.
  • Global Currency Exchange: Operate the Global Foreign Currency (GFC) exchange program during non-North America itineraries. Ensure compliance with procedures, reporting, and ongoing training for foreign cash handling and GFC program usage.
  • Cash Float Supervision: Oversee all cash floats, ensuring proper count procedures and continuous training for float holders. Perform float verification counts as per accounting policy.
  • Time and Attendance Management: Monitor Fidelio Time and Attendance module administration, tracking daily and weekly working hours for all crewmembers onboard.

General Responsibilities:

  • Crew Relations: Assist and attend to crew payroll inquiries. Provide Daily Draws for applicable staff and coordinate with shore side payroll as needed.
  • Financial Transactions: Relay SEA-Wire and Direct Deposit information to the Payroll Department and address any arising issues. Process Allotment requests and maintain accurate records.
  • Insurance Reporting: Handle monthly Insurance (INS) and Short Term Disability (STD) reporting.
  • Policy Interpretation: Advise Officers and Crew on Shipboard policies, procedures, and benefits in collaboration with the Human Resources Manager.
  • Expense Verification: Verify expense claims submitted by team members and coordinate with the Finance Manager for payment.
  • Accounting Compliance: Follow all applicable Onboard Accounting Policies. Process payroll data and reports within respective Onboard Systems.
  • Cash Float Audits: Conduct audits for all Cash Float Holders, reporting results and variances to the Finance Manager.
  • Cashbook Balancing: Daily balancing and banking of Cash Floats to ensure optimal cash control. Provide all monies to the Finance Manager for booking.
  • Professional Conduct: Maintain positive, effective, and respectful working relationships across departments. Uphold high standards of professionalism, integrity, honesty, attendance, punctuality, and personal appearance.
  • Navigator App Promotion: Actively promote the use of the Company’s proprietary Navigator App and assist guests in navigating its features.
  • Additional Duties: Perform other logically related duties as assigned or directed.


Skills, Knowledge & Expertise

  • Requires College or University degree/diploma in Administration/Accounting, Hospitality, or related field.
  • Minimum 2 year experience in the Hospitality Industry in Financial administrative positions showing progressive growth in responsibility.
  • Marlins score of 95 and above.
  • Strong analytical and management skills.
  • Prior shipboard experience covering skills related to the payroll position.
  • Commitment to follow established policies and procedures.
  • Able to work independent in order to perform objective audit and reporting tasks.
  • Able to work well and communicate effectively with shipboard personnel.
  • Ability to multi-task and handle constantly changing priorities.
  • Leadership, training and organizational skills demonstrated through past experience. Ability to keep information confidential at all times.
  • Strong communication skills including written and verbal English communication.
  • Working knowledge of computers and the ability to navigate within a variety of software programs such as Excel, Word and PowerPoint. Working knowledge of database programs and the ability to work with these types of programs proficiently.




Physical & Travel Requirements

  • While performing the essential functions of this job, all team members are required to stand; walk long distances on the ship; use hands to touch, handle or feel; reach with hands and arms; talk, hear, taste and smell. All vessel positions require repetitive motion of bending, climbing, going up and down stairs and lifting more than 25 pounds. This job requires specific vision abilities to include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • All team members must be physically able to participate in emergency lifesaving procedures and drills. All vessel positions require full use and range of arms and legs as well as full visual, verbal and hearing abilities to receive and give instructions in the event of an emergency including the lowering of lifeboats.
  • Work within different temperature changes—indoors to outdoors.
  • Able to pass basic safety course.
  • Able to work 7 days per week.
